Rental Process for Outside Organizations 

1. All facility rentals require a completed Facility Rental Application. Once this is completed, it can be emailed kimberly.borza@carlynton.k12.pa.us for processing. 
   
2. Special Event Insurance: All organizations and individuals who rent school facilities are required to have Carlynton School District as additional insured. The coverage should be in the amounts as stated below. The district MUST receive a certificate of insurance with the deposit. If the District does not receive this documentation at minimum three (3) weeks prior to the event, facility usage may be denied.

   1. General $1 Million.

   2. Products & Completed Operations Aggregate $1 Million.

   3. Personal & Advertising Injury $1 Million.

   4. Each Occurrence $1 Million.

   5. Medical Expenses $5,000.
       

3. Once the facility form has been received and processed, you will receive an invoice. This invoice will be emailed to you at the email address provided on the Facility Rental Application. Please note - no changes can be made to your rental agreement within three weeks of your performance/event.
    
4. 20% is due within 30 days of receipt of invoice. The remaining balance will be due 2 weeks prior to your event.
    
5. Please make checks payable to Carlynton School District. They can be sent via US Mail to:

Rental Process for Internal Organizations

If you are affiliated with the Carlynton School District, you will follow the guidelines below. PTA, PSEA, Booster Organizations, Recreation Commissions etc., are considered affiliated with the Carlynton School District and will not be charged the rental fee. You may, however, be responsible for paying any expenses the District may incur for custodians, maintenance, kitchen supervision, audio/visual or auditorium management assistance, etc., for wages.

1. All events taking place after school require a completed Facility Rental Application. Once this is completed must be forwarded to the building principal to sign. The building principal will sign and forward to appropriate staff. 
2. All Facility Rentals should be submitted at minimum three weeks prior to your event.

3. IMPORTANT Information for Athletic Rentals:  PLEASE ATTACH A ROSTER OF NAMES/PARTICIPANTS IN YOUR GROUP/ ORGANIZATION AND INCLUDE ADDRESSES OF EACH INDIVIDUAL, . An organization or group where more than 70% of its members or participants are residents of the Carlynton School District. For any athletic-related organization or group, only individuals of school age (grades K-12) shall be counted in determining the compliance with the 70% requirement. For athletic related organizations or district residents who participate in any athletic-related organization or group shall be assessed participation fee of $50 per five-month period or portioned thereof. The participation fee is to be collected by the organizations or groups and remitted to the Carlynton School District no later than ten (10) days prior to the beginning of a season. If applicable, groups pay either a rental fee or an out-of-district fee – whichever is lesser – but not both.
    
4. Once the facility form and rosters have been received and processed, you will receive an invoice. 
   • Once the invoice is created it will be sent to you via email 

   • 50% of the invoice in due prior to your first rental date

   • Remainder of your payment is due two weeks after the last practice. You will receive an updated invoice reflecting your final payment.
